    Service description:
    Service package A: Services in the area of project administration
    - Project meetings and workshops:
    o Coordination as well as preparation and follow-up
    o Implementation/moderation
    o Creation, coordination and filing of minutes
    - Maintenance and follow-up of an open points list according to project specifications
    - Creating and editing project presentations and project status reports according to specifications
    - Creating, maintaining, coordinating and updating project documents in accordance with the project management method
    - Managing and maintaining the project repository in MS SharePoint
    - Checking Jira tickets for completeness of documentation according to project specifications

    Service package B: Project management services
    - Creation and updating of internal project reporting in accordance with project specifications
    - Planning and control of the work packages (WBS) required in the sub-project to ensure the timely completion of the delivery units assigned to the sub-projects in accordance with the sub-project definition
    - Preparation and coordination of schedules, e.g. sequence of work packages, taking into account the requirements and framework conditions with the departments involved
    - Define the scope of the sub-projects based on the requirements of the project stakeholders (scope, deliverables, work products)
    - Document and control dependencies to other (sub)projects or programs in a central SharePoint list
    - Creating and updating (sub)project plans in MS Project
    - Documentation of milestones, work results and development packages in accordance with project planning in MS Project (Server)
    - Create schedule (duration and sequence of work packages), define milestones and carry out controlling schedule.
    - Developing proposals for deriving the project team's resources (quantity and skills)
    - Developing proposals for the definition of internal project communication and reporting
    - Technical advice on effort estimates at the start of the project or in the context of project adjustments (changes)
    - Technical advice on the overall planning of projects

    Application of methods and tools for internal project management in projects, in particular for forecasting, reporting, program / project plans and tools (e.g. databases, or MS Project server) according to the project methodology
    o Program/project planning, control methodology, controlling
    o Definition of a control model
    o Role & responsibility matrix
    o Definition and description of procedural interfaces to company units involved in the project
    - Preparation and analysis of key figures to determine the use of funds
    - Preparation of a stakeholder analysis according to specifications

    Service package C: Services in the area of risk, quality and change management Risk management:
    - Ongoing independent identification, assessment, categorization, documentation and tracking of internal and external project risks as a basis for the
    Further processing of risks in the risk management tool by internal employees
    - Carrying out the risk classification of the assigned projects
    - Developing and tracking measures for mitigating risks
    - Identification and documentation of dependencies and interactions with other projects or programs
    - Creation of decision templates for identified risks and measures
    - Quality assurance of submitted risks for completeness and traceability
    - Conducting risk workshops in accordance with project specifications

    Quality management:
    - Creation and maintenance of the quality manual of a project according to specifications
    - Developing and following up on measures to mitigate quality problems
    - Conducting quality workshops in accordance with project specifications
    - Preparation and follow-up of project discussions
    - Preparation of project quality gates and preparation of project changes
    - Editorial review of concepts and templates for project documents

    Change management:
    - Technical support in the identification, coordination and implementation of changes
    - Recording, documenting and tracking all changes relating to project scope, time and budget in the project change list
    - Analyzing the change and determining the impact on the client's end customer contract
    - Technical support in evaluating the implementation options for the changed requirement
    - Technical support in assessing the impact of the change on the project, operations, service and existing functionalities
    - Risk assessment of the changes/changes
    - Technical support in assessing the implementation costs
    - Technical support in assessing the impact on the timeline

    Creating drafts for decision templates and updating the project documents for the change
    - Necessary changes are part of the project discussions and must be communicated to the project manager in ad-hoc reports



    Qualification requirements:

    1. Language skills: German: Level C1 and English Level B1 - Common European Framework of Reference for Languages CEFR

    2. Certification: ITIL Foundation v.3

    3. Certification: Project Management ICB (IPMA) Level B (or equivalent, e.g. PMBOK (PMI) CAPM, PRINCE2 Practitioner)

    4. Knowledge of MS Office: Visio, Word, Excel, PowerPoint, Outlook, Project

    5. Knowledge of SharePoint and JIRA for collaboration in project teams and for the creation/use of dashboards or cockpits

    Experience requirements:
    1. Responsible management of IT projects with a technical focus on data center infrastructure, service projects platform or mobile working (at least 5 years)
    2. Experience in managing IT projects for public clients (at least 1 year)
    3. Management experience of project teams (>15 employees) (at least 5 years)
    4. Project management (at least 5 years):
    a.Reporting
    b.Change management
    c.Risk management
    d.Project planning
    e.Management of deliverables and dependencies
    5. Creation of knowledge assets and reusables for further use in future transition projects (e.g. standard templates, data entry forms, planning methods, solution concepts, etc.) for IT projects (at least 1 year)
    6. Preparation, organization, implementation and recording of project meetings and project committees, such as project steering committee (at least 5 years)
