- Meet and greet visitors to the Frankfurt Office
- Answer and direct all incoming phone calls and deal with new enquiries and send details to caseworkers
- Process all incoming and outgoing mail, including the preparation of documents to send by courier, ensuring all daily deadlines are met
- Prepare and send faxes for staff as required
- Manage all office services dropboxes actioning postal tasks and ensuring deadlines are met
- To assist with meeting room bookings and to ensure rooms are tidy at all times, have refreshments and are cleared down after meetings
- Ensure reception area is tidy and deliveries are unpacked and dealt with quickly
- Printing, scanning and errand/lunch runs as requested by Office Services Lead
- Assisting with preparing for, setting up and clearing down large internal and external events, such as client events, quarterly drinks, Christmas, and summer parties
- Assist the Office Services Lead in respect of any maintenance issues that arise and deal with contractors where requested
- To assist the Office Services Lead to ensure the office is always kept tidy and safe to comply with Health and Safety
- Other ad hoc duties as required
- Successfully completed training as a foreign language correspondent, office administrator or similar
- First relevant work experience
- Very high level of organizational skills and quick perception
- Fluent and proven knowledge of German and English, both written and spoken
- Confident handling of the MS Office package
- Proactive, service-oriented and at the same time discreet personality
- Committed and friendly manner
- Ability to work in a team as well as independence, reliability, flexibility and stress resistance
- Structured and careful way of working
- Enjoyment of a committed and responsible job
