Job purpose


To provide comprehensive support to the Global HR head office team and the DGFF HR EVP, carrying out full secretarial and administrative duties.

To lead specific HR programs and projects and deliver support in reporting and performance management.

To provide support in recruitment process of interns and trainees


Principal accountabilities

Team assistant

  • Time management for the Head of HR and travel itinerary
- booking tickets/hotels/agenda management

  • Ensuring settling of monthly expenses
  • Manage monthly HR

Board Inputs:
coordination, preparation and collating Inputs.

  • Organizing meetings for Head of HR: Weekly HR ExCom
  • Act as single point of contact for the V5 team / Staff department of the Head of HR for DPDHL
  • Ad hoc data analysis, e.g. related to voluntary turnover
  • Facilitate and organize Monthly Team call/PD
  • Support the GHO HR team on selected admin topics

Global Project Management
- **Global Project Manager for DGFF for the DGFF Credit card management*
  • Representation of DGFF in xdivisional project management group
  • Management of global Application process and global Communication
  • Communication of DPDHL/DGFF's standard rules and policies.
  • Monitoring of Payment process

Global HR Award Project Management

  • DGFF Global HR award coordination,
  • Consulting the Head of HR

GHO Hiring approval management

  • Coordination between HR Business Partners and Head of HR / CEO
  • Responsibility for reporting and endtoend communication process

Management of Finance processes related to HR

  • Management of PO/ Create Bid Waivers/ Release of payments and recharge processes from other legal entities
  • Yeartodate cost analysis for global HR budgets

Support for Global Head Office HR team

  • Management the on/offboarding process for the Global Head Office HR team
  • Management of records for the company mobile data/ order mobile/SIM card and accessories/ change and transfer the contract and solve queries and issues related to it.
  • Editor for SmartConnect App
  • Provides comprehensive support to Integrate GHO New team
  • Hillebrand Team and HR European Team by giving them training on tools and information.
  • Acting as a Communicator and Coordinator
- central "point of contact" for Global HR Team on Providing important data and information.

  • Ad hoc project with talent and engagement HR team

  • beyond HR, Some new additions
  • Organization of Global Volunteer day (GVD)
  • Project member in DGF conference preparation
  • Annual Carnival party at GHO
  • Support BYS event
  • Birthday Breakfast with Tim, Harm & GHO colleagues
  • Organizing activities such as lunch with Executives, Tower tours, and training on tools like First Choice for Interns and trainees.

HRBP for Interns and trainees:New

  • Responsible for recruitment, onboarding and offboarding process of interns and trainees within DGF GHO Bonn based
  • Support the Line Managers to draft or update adequate job profiles
  • Post job openings on the DHL Job portal and external portals like LinkedIn, Indeed, and Stepstone.
  • Conducting prescreening for eligibility before sharing CVs with the Line Managers.
  • Supporting Line manager in recruitment process
  • Supporting Line managers in hiring process
  • Consistently following up on the working visa status and other documents for hiring or contract extension
  • Ensuring meticulous onboarding, including effective communication with both Line Managers and new joiners.
  • Including interns in the EOS process and conducting followup calls.
  • Support offboarding process of internes and trainees

Knowledge, Skills and Experience
Proficient knowledge of Microsoft Office Suite, in particular, MS PowerPoint and

Excel

Proficient knowledge Canva

Team player with the ability to work on own initiative

Quick in understanding also complex situations and environments

Proven time management skills

Ability to work well under pressure

Strong communication skills at all levels

Proactive, especially with regard to diary management and travel itineraries.

Pleasant, helpful attitude with the willingness to take on key tasks
