My client, a British company providing facilities services for companies in different sectors, is looking for a

Facilities Assistant / Administrator (m/w/d)


The goal of this role is to coordinate the delivery of all planned, reactive and proactive maintenance tasks throughout the FCDO estate in Munich.

The main goal is to ensure all tasks are completed within the agreed timescales and the contractual service level agreement.

To continuously develop and improve the quality of the services provided, by company and client objectives.

Tasks

  • To carry out general office management tasks, such as placing stationary orders and conducting cleaning audits.
  • To carry out nonspecialist planned preventative maintenance tasks such as fire alarm tests, fire extinguisher checks and tap flushing.
  • To participate in regular building walks with the client and raise any remedial works.
  • To arrange security clearance checks on all new staff and subcontractors with the FCDO client.
  • Ensure all compliance paperwork is uploaded to the client portal and filed.
  • To arrange quotes for chargeable works and provide them to the client for financial approval.
  • To assist with coordinating tasks at other European FCDO estates as may be required.

  • Uses insights to anticipate future needs and collaborates with customers to develop innovative solutions.
  • The safe elimination of waste in all it's forms.
  • Ensure all compliance paperwork is uploaded to the client portal.
  • Completion of regular Audits relating to all areas of responsibility.
  • Creates a safety culture that looks for continuous improvement.
  • Completes all business reporting promptly.

Requirements:


  • English and German speaking essential
  • Previous experience in office management or coordination role
  • General IT skills
  • Previous experience with Environment, Health and Safety is desirable
  • Previous experience using CMMS systems desirable
clients.
