For our growing O&M Offshore organisation in BA Wind, we are now looking for a
Team Assistant
located in Hamburg.
The Team Assistant is a key role for the sites and is responsible for all administration tasks within the German region e.g., shift plans, handling of training, SAP support.
As Team Assistant you support the onboarding of all visitors and guests to our Offshore Wind assets within German waters and you are the centre for communication for both internal and external parties.
Key responsibilities include:
- Purchasing and ordering all indirect procurement e.g., stationery, resources and consumables, offsite local purchasing
- Participate in the reporting of budget for the region and sites
- Coordination and booking of trainings and courses for the sites and central support functions in the region
- Local administration (assisting site visitors, travel booking, ordering of IT, workwear and sitespecific PPE)
- Administrative support to the Manager of Regional Support and Site Manager
- Support of relevant site needs e.g., induction, customs, travel reimbursement etc.
- Organization of internal and external meetings
- Assist the O&M Team with shift and training plans, SAP entry tasks, as required
- Gather and register time for external personal according to contracts and guidelines
- Superuser in IT systems and software
- Preparing and supporting new employees with onboarding
- Responsible for arranging Social and Community Events
- Personal assistence for the Head of Region
- Responsible for Regional SharePoint structure and internal online communication
Profile:
What we are looking for:
- Relevant educational background to the role plus a business administration qualification
- Proven track record of and experience in assistant and administration support and maintaining office systems
- High level of communication skill and excellent problemsolving skills
- IT-Intermediate to advanced level of MS Word, Excel and MS Outlook, SAP and SharePoint
- Ability to prioritize own workload and organize time and tasks efficiently and be proactive
- Fluency in both German and English
