Senior Clerk - Item Processing position located at Mainz-Kastel District Office, Full-time 40 hrs.M/F/d**I. Summary


This position is responsible for actively participating in all functions which are performed within the Item Processing department and may assume responsibility for the section in the absence of the Chief Clerk.

Functions will be performed on a rotating basis to ensure cross-training and staying up-to date on all processes is proficient.

Duties include Barr Files distribution, settlement of unposted items, IMNS closures & ITFV entries, settlement of all Forex items (FX deals, investments, recoupments and conversions), Optima download of SEPA Payments and processing, statement and notices processing, Fidelity payment files transmission, handling of various checks, processing Treasury deposits and handling of undeliverable cards.

II. Principal Accountabilities

  • BARR files distribution operate the BARR server to run the daily TRAN FILE and NOON files for the unposted report and extract statement files for further handling. Close BARR server and perform end of day backup routine.
  • Complete the daily unposted reports for Germany/Italy and UK by uploading applicable macros into worksheet and distributing unposted items. Complete appropriate investigation and settlement of general ledger accounts for unposted items and ensure that entries are correctly dispositioned when necessary using the Fidelity system. Prepare and send applicable files to home office departments and local LZB department for further handling.
  • When working the unposted reports, ensure the IMNS daily closures are completed and ITFV entries are made for Germany/Italy and UK.
  • Complete settlement of daily incoming Forex items within the established deadlines. Forex settlement includes all FX deals, investments, recoupments and conversions completed; using the applicable worksheets and the Fidelity system.
  • Prepares daily Optima OTP conversion, checks for correctness of batch amounts against the Fidelity FMS, imports SEPA payments into applicable software. Reviews and /or performs dual control on SEPA payments for Germany and Italy. Prepares files for transfer to LZB department and completes daily general ledger settlement using the applicable worksheet.
  • Prepare and upload daily statement and notices to printing vendor, prepare control log and handle 'Lieferscheine.
  • Handle and reconcile incoming USD, GBP and EUR various cheques from the Banking Centers, using Optima/OnBase and Fidelity. Forward items to LZB department for further handling.
  • Process incoming Treasury deposits from LZB department and forward to home office for further handling.
  • Handle undeliverable cards and distribute to applicable banking centers.
  • Complete investigations and resolve inquiries from Banking Centers and other internal departments by internal research, ensuring that timely response is provided.
  • Prepares documents for archive where necessary and maintains records.
III. Qualification Requirements

A. Education and Knowledge

  • High School diploma or Mittlere Reife or other European equivalent.
  • German Bankkaufmann/frau or equivalent.
