  • Draft and produce correspondence presentations, reports, spread sheets, organization charts and other similar documents by using tools including but not limited to MS Word, Excel and PowerPoint
  • Respond to and screen incoming phone calls and direct callers as appropriate
  • Take and relay messages and escalate calls to the appropriate personnel
  • Organize and maintain diaries, calendars and schedule appointments
  • Understand how to manage data files by setting up appropriate directories and appropriately filing documentation in an organized manner
  • Serve as a champion by liaising with internal and external contacts in a professional manner
  • Prepare purchase orders as required and obtain the appropriate approvals
  • Monitor invoices to ensure that billing charges are appropriate and that all required information is present so that payment may be processed
  • Attend meetings as assigned and serve as the note taker; compile appropriate minutes and summation of action items
  • Organize and schedule onsite and offsite meetings and ensure that facilities are appropriate
  • Manage special projects and other duties as may be assigned from time to time by Executive Management
  • Bachelor's degree in Business or Secretarial Science (or equivalent experience and knowledge)
  • Several years of administrative assistant experience in a fastpaced high level corporate environment in support of executive management
  • Prior project management experience with a proven track record for success is highly preferred
  • Ability to be trusted with highly confidential information
  • Understanding and following established processes and controls while making constructive suggestions for continuous improvement
  • Ability to train staff relative to processes and controls
  • Ability to critically review documentation for accuracy and completeness
  • Ability to accurately capture important items so that a complete record is created (e.g., capturing accurate meeting minutes)
  • Excellent organizational skills required with attention to detail and ability to multitask
  • Proficiency in MS Word, Excel and PowerPoint
  • Demonstrated strength in professional business writing as well as excellent oral and written communication skills
