What you do
In your role as a Team Assistant you provide an efficient and responsive administrative, organizational, and logístical assistance to Senior Management of the Utility for Claims (UfC) team in very close collaboration with the UfC CEO Office, helping to provide a smooth day to day operation, to manage and prioritize time and optimize standard and procedures on a daily basis

key responsibilities

  • Provide administrative support, including scheduling meetings, maintaining calendars
  • Oversee and support administrative duties in the UfC office and ensure that office is operating smoothly
  • Support of administrative processes, e.g., maintaining invoices and reimbursements in BEST/SAP, travel expenses in Cytrics
  • Offsite / workshop / small event organization including registration & welcome of guests
  • Manage office supplies inventory and place orders as needed
  • Receive and sort incoming mail and deliveries, and manage outgoing correspondence, create distribution lists, files
  • Cover during vacation/absence of Personal Assistant to UfC
  • CEO, just as vice versa

What you bring

  • Proven experience in supporting teams in a similar role, in the international company would be a plus
  • Excellent team player and good communicator with distinctive social skills
  • Accurate and precise way of working, even under time pressure
  • Fluent in English and German
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
