YOUR ROLE:


  • The team assistant will manage a wide range of advanced administrative as well as leadership and team supportrelated tasks, will be able to work independently within guidelines, and will make independent decisions regarding planning, organizing, and scheduling.
  • Contribute to the excellent reputation of Henkel, Strategic Marketing department, and the leadership team through professional, and respectful interactions with all internal and external stakeholders.
  • Serve as the brand extension for leaders you support, escalating and communicating on their behalf and serving as a team liaison.
  • Manage demanding calendaring requests with limited oversight, including partnerships across the organization to coordinate with calendars of senior executives.
  • Planning and organization of internal/external workshops and events incl. travel arrangements, accommodation, registration etc.
  • Support the team on complex travel arrangements and expense reporting.
  • Support on departments recruitment activities and organize onboarding of new colleagues/interns in coordination with respective supervisors/mentors.
  • Organize system access and coordinate ITequipment for team, new colleagues, and interns.
  • Create and guide on creation of purchasing requests/orders for the department and liaise with vendors.
  • Perform additional daily administrative tasks (e.g., time keeping support) and ad hoc requests.
  • Handle other additional and/or alternative duties as assigned from time to time, including supporting other departments as needed (e.g., taking deputy role for other executive/team assistants).
  • To perform this job successfully, the individual is expected to handle sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

YOUR SKILLS:


  • Successful completed commercial vocational training or comparable qualification
  • Experience as executive or team assistant in an international corporate or professional service environment
  • Strong stakeholder management, organization, and communication skills
  • Reliable team player with ability to build strong relationships
  • Fluent German & English language skills
