Beschreibung
Purpose

  • Ensure outstanding administrative support to the (Senior) Vice President or a group of Vice Presidents
  • Support communication tasks, presentation creation, workshop conception and preparation, etc.
  • Key Accountabilities
  • Calendar management of supporting VPs, incl. planning, organizing and coordinating internal & external meetings/conferences, workshops, etc., incl. room bookings
  • Creation of presentations
  • Proactive / independent execution of special projects and tasks
  • Creating announcements and newsletters
  • Taking on administrative and coordination tasks, as well as carrying out operational tasks under the supervision of the respective department heads in charge
  • Independently handle all correspondence to ensure a timely and accurate response
  • Process correspondence, memos, minutes, reports and confidential documents as well as maintain and update files, records, organizational charts and other graphical representations.
  • Preparing travel expense reports
  • Manage the department's cost centers on a global level, including regular monitoring of budgets, approval of invoices to ensure accurate accounting procedures
  • Main contact person for information management (e.g. on the intranet), Ensure that the content of the intranet is up to date
  • Check and eliminate problems in the existing systems and processes that are not immediately apparent
  • Administrative responsibility for trainees (e.g. BMP) to ensure that internal training targets are met and for temporary employees within the respective department
  • General tasks
  • Administration of the purchasing platform with creation of shopping carts as well as purchase orders. If required, requests for quotations from internal and external suppliers. Creation and administration of material and supplier data. Monitoring of orders, booking of incoming goods and preparation of invoice verification
  • Ordering office supplies
  • Master data creation for temporary employees (< 1 year) and external employees in selfservice tool
  • Coordination & administration of video conferences
  • Maintaining the data system as instructed
  • Support in setting up new offices and relocations within the HQ
  • Maintain vacation planning for the team
  • Proofread documents/presentations
  • Knows, understands and provides information on standards and procedures

  • Very good organizational skills and a high degree of proactive and independent working
  • Very good communication skills and very good written and spoken English skills
  • Absolute discretion and confidentiality
  • A high degree of service orientation when dealing with internal and external stakeholders and clients
  • Creativity, curiosity and selfmotivation to identify and implement improvements in the designated work area
  • Excellent knowledge of Microsoft Office (especially Excel, PowerPoint, Word, Outlook)
  • Excellent knowledge of SAP
  • Experience in project management is desirable
  • Good understanding of numbers
  • Qualifications
  • 4+ years of professional experience
  • Professionally experienced and fully qualified/trained
  • Both theoretical and practical knowledge, including knowledge of company policies and business practices
  • Good knowledge of related fields of work
