Team Assistant (f/m/d) / Secretary at the Institute Accelerator Operation, Development and Technology at HZB
Your Tasks

  • Independent handling of administrative and organizational processes as well as documentation, document handling, and filing.
  • Support and coordination of personnel matters, including onboarding and offboarding processes, in an international environment.
  • Correspondence in written and spoken German and English, including translation, creation of presentation slides, other printed materials, and maintenance of the institute's website.
  • Preparation, organization, and followup of scientific events and meetings.
  • Quality control of documents, processing of mail, appointment coordination, and business trip management.
  • Organization, preparation, and implementation of internal and external meetings and workshops; support for guests of the institute; Maintenance of statistical databases for recording publications, theses, presentations, guests, and collaborations.
Your Profile

  • Completed apprenticeship in business administration, training as a foreign language secretary or comparable qualification
  • Business fluency German and English (at least B2 level)
  • Work experience in the secretarial and assistance field
  • Independent working style and strong organisational skills
  • Confident handling of common office communication software, such as MS Office (Word, Outlook, PowerPoint, Excel)
The employment contract is limited to 14 months. The payment is based on the collective agreement for the public sector (TVöD-Bund).
