This is a unique opportunity for someone looking for an entry opportunity in their Executive Assistant career as it gives you an opportunity to get to know the DHL Supply Chain division right from the top.

As Team Assistant, you will be responsible for providing professional pro-active and confidential support on a day-to-day basis to the Global Staff Team.

In this role, efficient organizational skills are necessary to support the team as well as superior attention to detail and the ability to juggle multiple requests.

The position requires the ability to work in a collegial way with different colleagues, build effective stakeholder relationships and the ability to work with composure under pressure.

You must be able to proactively execute activities as prioritized with little guidance and be keen on continuously learning.

The key responsibilities in this role include:

  • Complete secretarial and administrative support including travel management (domestic & international) and expenses
  • Providing support to Cheif of Staff and partnering with the DHL Supply Chain CEO's Executive Assistant
  • Manage tasks in teams and support scheduling and aligning of meetings
  • Alignment and scheduling of divisional meetings eg. business review meetings
  • Undertake generally repetitive administrative tasks i.e. distribution lists are up to date
  • Comply with established procedures and ensure proper usage of administrative support processes and policies
  • Support the Executive Assistant of the DHL Global CEO
  • Interact primarily with colleagues of own team
  • Support in document preparation for key meetings/ conferences

Now here's what we need from you;

  • Previous experience in an assistant or support role, ideally within a multinational /global organization is an advantage
  • Excellent German oral and written
  • Good oral and written English required
  • Excellent organizational and administrative skills
  • Highly motivated and proactive with the ability to learn quickly
  • Strong communication skills with the ability to communicate with people from different teams
  • High levels of integrity and discretion
  • Impeccable attention to detail
  • Experience with domestic and international travel coordination & expense management advantageous
  • Excellent knowledge of MS Office Suite/O365 (i.e. TEAMS / Outlook / PowerPoint / Word / Excel)
