What you do
You will be reporting to the Head of CEO Office, and in this role you will provide an efficient and responsive administrative, organizational and logístical service to the CEO of Allianz Partners.
You will actively steer other Board Offices, Senior Management and teams from across the world.Primary Responsibilities
- Supervising and managing the CEO's complex agenda: diary management and effective scheduling of meetings and activities as required, including coordination with other Board Offices and teams across the globe
- Planning physical meetings and web conferences / events, including booking of venues, supplies and/or meals as required
- Engaging in a proxy role for various systems and internal approvals
- Createing Purchase Orders, process invoices, control expenses
- Delivering communications when necessary
Secondary Responsibilities, Support to Markets teams
- Managing / ordering office supply & software requests
- Organizeing internal and external team events & seminars (travels, transfers, hotel rooming, events, venues, meals and activities )
What you bring
- Proven experience in a similar Personal Assistant position with experience managing complex diaries and travel arrangements
- A strong sense of confidentiality and stakeholder management, have tact, strong judgement, discretion and attention to details
- Excellent time management skills and the ability to work under conflicting priorities; this role often requires a high degree of flexibility and reprioritization at short notice
- Strong knowledge of Outlook, Microsoft Word
- Excellent verbal and written communication skills with the ability to think logically and consider alternatives to provide practical solutions based on a broad understanding of relevant factors
- Good interpersonal skills, diplomacy and the ability to adapt to different interlocutors
- Rigorous, strong organizational and planning skills, and fluent in English.
