Main tasks:


  • Contact person for all employees and support of the team in all administrative matters
  • Ordering, purchasing and management of office supplies and inventory
  • Facility management, contact person for external service providers and suppliers
  • Handling of incoming and outgoing mail
  • Coordination of various administrative tasks with the aim of ensuring a smooth running of the company
  • Friendly reception and hospitality of guests
  • Appointment and travel planning, event organization
  • Preparation and checking of travel expense reports
  • Interface for external service providers, craftsmen, janitors
  • Planning, coordination and implementation of internal company events and meetings
  • Support with travel planning for employees and guests
  • Administration of files and documents
  • Supporting the management team in administrative tasks
  • Preparatory work for the human resources department
  • Collaboration in groupwide projects
  • Process optimization

Required Knowledge/Skills/Experience:


  • Very good knowledge of the German and English language, both written and spoken
  • Good knowledge of MS Office suite and other technical solutions
  • Very good communication and interpersonal skills
  • Serviceoriented personality
  • Proactive and solutionoriented thinking and acting
  • Experience in initiating and driving forward measures to improve the working environment
  • Background in reception, office & facility management and preparatory work HR department
  • Knowhow in coordinating, managing and implementing initiatives and activities in a large global organization
