Overview:


The main purpose of the position of Shipping Specialist as a member of the Shipping Team is to ensure a most smooth and efficient processing of all MSA shipments departing from the Berlin plant and the European Distribution Center (EDC) run by a Logistics Service Provider (LSP).


Responsibilities:


Description of Duties and Responsibilities:


  • Processing of all shipments in SAP; review of all relevant shipments reported as packed by the EDC or by the warehouse team of the Berlin plant; generation of shipping documents, export declarations and invoices related to these shipments; Collation of any other shipment documentation and making these available to the EDC or the Plant warehouse team ; ensuring individual deliveries can be traced back to shipments; ensuring correct freight charges are populated in export invoices
  • Coordination of requests / resolution of issues as brought forward by Customer Service and other Departments regarding shipments. Coordination with Carriers, EDC and internal departments to resolve issues. Issues may concern shipment documentation (Export, Dangerous Goods), shipment labelling, shipment packaging, shipment damages.
  • Coordination of deliveries and shipments with EDC (changes, cancellations, urgencies) based on information and requests from other departments such as Customer Service and Supply Planning
  • Processing and recording of Shipping complaints investigation and rootcause analysis of Shipping complaints. Initiation of required inventory adjustments, credit notes, debit notes to be made as a result of Shipping complaints
  • Booking of shipments with preferred and adhoc carriers regarding unplanned shipments
  • Booking of inbound and 3rd shipments from suppliers, affiliates to other affiliates, end customers
  • Processing of price calculations and transportation lead time options at request of CS, Service and Sales
  • Invoice validation of carriers, packaging materials and other suppliers
  • Operations meetings with EDC
  • Creating reports for delivery confirmations (Gelangensbescheinigung) for SOX
  • Processing of carrier performance & invoice statistics reports
  • Providing closed export declarations to affiliates needed for local tax offices as export confirmation
  • Sorting and actioning tracking mails incl forwarding to affiliates to resolve delivery issues
  • Reviewing carrier tariffs
- freight invoice: download, add to a list, send to finance

  • Handling of not closed export transactions with customs
  • Monthly review, correction and upload of Intrastat data to Austrian and German state authorities website

Qualifications:

Knowledge, Skills and Ability Requirements:


  • Experienced in in working with 3PL providers in warehousing and transportation
  • Proficiency with SAP (MM, IM), Excel, EDI
  • Experienced in managing transportation requirements
  • Experience with Export shipments and Export control regulations regarding Export restricted items
  • Good understanding of IncoTerms and impact thereof
  • Experience with Dangerous Goods Transportation, IATA-DGR category 2

Education and Experience Required:


  • Certification in Logistics or Supply Chain
