Your role

  • Specific responsibilities:_
  • Manage incoming correspondence from event organizers, participants, EMBO Course Committee members, and the scientific community;
  • Process payment requests and postmeeting reporting documents and liaise with the finance department to ensure timely payment;
  • Send postmeeting questionnaires to participants and share participant feedback with meeting organizers;
  • Monitor and continuously update the inhouse Courses & Workshops database (FileMaker Pro) to ensure accuracy, and collate and analyze statistical, questionnaire and financial information and create reports as required;
  • Coordinate the creation of promotional materials in liaison with the Communications department;
  • Ensure the Courses & Workshops webpages display uptodate information and check external sources for adherence to funding guidelines;
You have

  • At least 2 years relevant administrative experience;
  • A conscientious approach to work with attention to detail, flexibile working style and excellent organizational skills. These attributes are essential in order to coordinate a range of activities in parallel, often under tight deadlines, while maintaining a highquality work;
  • Skills in commonly used office software;
  • The ability to work independently and in a team;
  • A serviceminded, professional and helpful approach in communicating with a wide range of people, both inside and outside the organization, on a daily basis.
  • Excellent written and oral English skills.
You might also have

  • A background in science administration is desirable, preferably in an international environment.
  • Experience in working as a user with databases, particularly Filemaker, or content management systems (CMS) is an asset.
  • Experience in the organization of committee meetings, including minutetaking is an asset.
  • Additional language skills, particularly German, are advantageous.

Please note that appointments on fixed-term contracts can be renewed up to 9 years in total, depending on circumstances at the time of the review.

The Programme Officer reports to the Head of Courses & Workshops.
