We are looking for a Management Assistant (M/F/d) with fluent German and English (both written and spoken) who will be responsible for providing support to the local management team, making visitors feel welcome, and keeping the site well organized and attractive.


The responsibilities cover:


  • Office management for local leadership management of mail, of contracts, of site documents, and administrative support for leadership team
  • General site organization answer central telephone, maintain welcoming site appearance, manage inbound and outbound site information, coordinate site calendar
  • Organization of events for local functions and visiting teams from other corporate sites
  • Travel support for the site assist in travel arrangements, group bookings, obtaining visa
  • Visitor management support visitors in preparing their visit, personally welcome and support visitors at the site, be present at the site during standard office hours
  • Close cooperation with local training coordinator support the local training center for Service, Sales, and Customers
  • Assist supportive infrastructure functions administrative support of health&safety system, quality management system, and data protection

Requirements:


  • Several years of experience in Management Assistant role in an international environment
  • Strong organizational skills, including office and event management
  • Full professional written and verbal German and English
  • Good communication skills and ability to interact with internal and external stakeholders
  • Be flexible, proactive, resourceful, and efficient with ability to prioritize tasks and readiness to work with deadlines
  • Ability to handle confidential information in a discreet and disciplined manner
  • Proficiency in Microsoft Office (Word, PowerPoint, Outlook, and Excel)
