Administrative Assistant who brings solid expertise and a passion for FSC's mission, to work with us in a multinational environment.
The Scope
The Global Network Unit (GNU) provides support to FSC Field operations in over 40 countries and across all regions worldwide.
We see it as our role to ensure our colleagues and partners in the field thrive, grow and are able to successfully execute on our mission.
We do that by providing relevant tools to track performance, by enabling space for knowledge exchange and learning, in assuring there is effective back-office support, and by continuously developing our people and talent.
As the GNU Administrative Assistant, you will play an important role in connecting many dots across the global network.Your Main Roles and Responsibilities
- Working closely and effectively with the unit Directors to keep them well informed of upcoming commitments and responsibilities.
- Unit lead on Procurement. Support the monthly procurement planning meetings with the regions. By proactive guidance to our field teams, procurement needs are complete and submitted to the procurement within the agreed planning timeline.
- Support the GNU invoicing process by validating that all invoices are compliant with FSC rules and guidelines and can be sent to the Finance department for final payment. Invoices include but not limited to salaries, expense claims, advances, supplier invoices, etc.
- Unit lead on travel. Provide guidance to field staff on the travel policy and coordinate travel arrangements for Unit Director and or specific events.
- Develop and maintain the GNU calendar to keep all global staff updated on relevant activities organized across FSCI
- Support, expand and improve the usage of the Network Unit Resource Platform (NURP) which aims to centralize all information relevant to GNU in a common SharePoint.
- Provide logístical support to meetings and teleconferences for the team (incl. Network Partners, National Representatives, Regional Teams, and/or other important meetings required).
Qualification, Experience and Skills
- Education: Successfully completed studies/vocational training/courses in relevant field
- Committed and solutionoriented way of working
- Ability to work autonomously (planning, organization, prioritization)
- Determined to own priorities/responsibilities
- Ability to be discrete and maintain confidential information
- Positive teamplayer who operates in a fastpaced teamoriented setting
- Very well organized and efficient
- Intercultural competences, strong interpersonal and communicating skills combined with a confident demeanor at various hierarchical levels
- You like working in an international environment and you like the exchange with different stakeholders
- Service provision as basic attitude, also under difficult circumstances
- Advanced MS Office skills
- Knowledgeable and/or curious on the use of Office 365 Apps
- Fluent in English, written and spoken, B2/C1 or native German is very welcomed.
- Spanish and / or French a plus.
- Basic experience in SAP, Financial acumen and understanding legal documents such as contracts is a plus
Terms and Conditions
- Location: Bonn, Germany.
- Working Hours: Full time 40 hours per week.
- Starting Date: As soon as possible.
