Customer Service Assistant - On-Site - Mulheim

Inplan Software Solutions are looking to hire an experienced Customer Service Assistant to join the team in Mulheim, working on a part-time basis


The successful Customer Service Assistant will be responsible for liaising with internal and external stakeholders, completing administration and tasks across the business, to meet the required needs of the business.

What your day will look like:

  • Receptionist (especially maintenance redirection: customer calls / redirecting and taking calls and redirect to related PIC)
  • Management of local post service letters
  • HR topics (illness, over hours)
  • Invoicing (preparation and tracking of regular and irregular invoices)
  • Responsible for the administration of business
  • Provide customer service support to internal and external customers
  • Perform plan audits. Prepare, collect, and organize data for actuarial assessments. Review data in conjunction with actuarial evaluation task forces
  • Ad hoc reporting and trend analysis as required.
  • Strong multitasking and organizational skills
  • Drive to succeed in a fastpaced environment
  • Ability to adapt quickly to demanding situations
  • Portrays professionalism and exemplifies exceptional customer service skill
  • Ability to maintain strict confidentiality

About you:


  • Fluent in German both written and verbal is essential and having a professional level of English is high desirable
  • Previous experience in a Customer Service role or as an Administration Assistant within a fastpaced SME environment, essential
  • Like working to strict deadlines, which are not an issue to meet, and you know how to follow and understand procedures once trained
  • You have a good general understanding of business
  • You will be in contact with a lot of different internal and external clients and will need strong social skills, which are on point, enabling you to ask challenging questions to gain the desired outcome
  • The ability to work independently; after the initial training period, where you will have the opportunity to work from home most of the time, overseeing your diary and tasks and be able to stick to deadlines and manage your time highly effectively
  • Dynamic personality with a flexible working approach, both to work content and hours of working
  • Ability to manage a diverse and demanding portfolio of activities
  • Team player, outgoing with a good sense of humour
  • An excellent spoken manner with strong interpersonal communication skills at a range of operational levels
  • Living within commuting distance of Mulheim
  • Excellent organizational skills with a high level of attention to detail
  • Sound IT skills in Microsoft Office
  • Legally authorized to work in Germany
