Job description


We are looking for Document Controller, highly organized and detail-oriented, to join our team as a Documentation and Asset Management Specialist to support our client Spaceopal in Munich, Germany.


Responsibilities

In this role, you will play a crucial part in controlling the configuration quality of documentation and the flow of documentation between internal and external parties, including handling classified documents.

Additionally, you will be responsible for ensuring the accuracy and integrity of asset management processes.


Main tasks and responsibilities:


  • Facilitate the receipt, distribution, archiving, and tracking of all documentation from/to external/internal parties, including classified documents, using designated tools.
  • Compile and deliver comprehensive documentation data packs, ensuring teams have access to the latest versions
  • Maintain accurate delivery records and provide reports related to documentation delivery and the status of both unclassified and classified documentation.
  • Conduct quality checks and assist in updating/adjusting documentation to meet document control standards.
  • Address and resolve issues pertaining to documentation configuration, ensuring consistency and integrity.
  • Monitor the proper usage and status tracking of documentation/deliveries within centralized tools, taking corrective action when necessary
  • Assist in developing and maintaining operational procedures for inventory management and documentation management in collaboration with ILS and CADM Management
  • Support the management and control of all system assets in the centralized tool
  • Conduct regular checks on the centralized asset tool/database to ensure accuracy and completeness.
  • Oversee subcontractor updates related to their assets in the centralized tool, initiating corrections or clarifications as needed.
  • Address and resolve issues/problems related to asset management reporting and underlying data records
  • Support customer enquiries related to asset management status and reporting
  • Collaborate in supporting audits at Spaceopal/subcontractor levels related to asset status and integrity.

Required qualification:


  • High school degree
  • Proven experience in documentation control and management ideally in the space, aerospace or telecommunication sector
  • Strong attention to detail and organizational skills.
  • Proficiency in using Microsoft Office tools, experience document management tools is a plus.
  • Excellent communication and problemsolving abilities.
  • Ability to work collaboratively in a team environment respecting strict deadlines.
  • Familiarity with classified document handling protocols is a plus
  • Fluent written and spoken English. A further language i.e. Italian and/or German is appreciated


This is a full-time position to be located at
Spaceopal headquarter (Munich, Germany), with the planned start date as soon as possible.
