NVIDIA is searching for a self-motivated, well organized and high communicative office and facilities administrator.

You will be part of a busy office management team and contact for everyone who visits NVIDIA Munich, integral to championing the NVIDIA employee experience.

In this role you will support the office manager and be responsible for day to day facility queries, office administration and supplies, office events, community giving and domestic shipping preparation.


The role is a fixed term parental leave cover for the initial duration of 12 months, with a possibility to extend.


What you'll be doing:

  • Front of House Lead for the Munich office including support to an Executive Business Centre.
  • Office Management support for the Munich office
  • Facilities and administrative coordination support for the office including reporting issues, booking reactive maintenance and repairs, tracking issues and ensuring contractors arriving onsite adhere to EHS Contractor Management Program
  • Support to Lead Office Manager in maintaining excellent level of office housekeeping, including meeting rooms, phone booths and common areas, encourage recycling and assist to implement sustainability programs
  • Support Lead OM in F&B enhancements and coordinate employee events and activities.
  • Coordinate and prepare office all hands and company meeting replays.
  • Office administration including digital signage maintenance, travel support to visiting NVIDIANs, visa letter preparation, EHS admin support for the Lead OM and Share Point Maintenance
  • Provides general office support to employees.
  • Maintain asset tagging as required by finance.
  • Ordering office supplies, maintaining stocks of stationery, packing material, etc, aligned with the budget and approval from Lead OM.
  • Order kitchen and break room supplies, aligned with the budget and approval from Lead OM.
  • Tracking spend against the annual PO's where required.
  • Support with the new hire experience, coordination of new starters, assisting with desk set up, travel profile set up and training (office tour and orientation as required in absence of OM)
  • Community giving and charity initiative lead.
  • Aware of employees' general whereabouts and provides information to visitors and employees.
  • Support to corporate shipping function where required to prepare domestic and noncontrolled shipments / Preparing necessary documents for export.

What we need to see:

  • Excellent telephone manner & communication skills
  • Be professional, flexible, mature, and approachable with a positive attitude even under pressure.
  • Exhibits special customer service skills with visitors and employees.
  • Fluent English and German language skills written and spoken.
  • Relevant education and experience as an Assistant / Office Manager in an international company
  • Attention to detail.
  • Conscientiousness
  • Flexibility and good ability to multitask and to organize on short notice.
  • Ability to work without supervision and able to prioritize own workload.
