Performs administrative duties for a work group of the Church's Office of General Counsel ("OGC"), especially its Europe Central Office but also, in some measure, its Europe East and Europe North Offices, department/area, manager or director.

Prepares documents, reports, including powers of attorney and certificates of appointment, charts, and graphs. Reviews and prepares attorney fee invoices for processing. Maintains and updates calendars. Schedules and/or coordinates meetings. Makes travel arrangements. Creates and/or maintains filing systems. Will be instructed in and become proficient in OGC's InfoGuide and iManage programmes (or successor programmes). Reviews and distributes mail. Collects data and compiles information. Answers telephone and responds to routine calls/inquiries. Prepares correspondence. May perform data entry activities. Proficient in Office databases and policies. (The Administrative Assistant level 3 is not an automatic progression. The number of level 3 Administrative Assistants in each organization will be limited by the amount of higher level work needed in that organization)

  • At the highest administrative level, may act as coordinator of departmental projects, following up on pending details, coordinating project team activities and ensuring deadlines are met.
  • May monitor department/area or project budgets, keeping management apprised of budgetary status.
  • Collects, evaluates, disseminates and maintains complex information and data from multiple sources.
  • This position requires a broad knowledge of the organization's structure, functions, and key personnel, etc.
  • Serve as a liaison between the senior management and other key members of management, employees and outside contacts related to department activities.
  • Under general supervision and acting on own initiative and direction, provides complex administrative support within an environment of strict confidence, responds to diverse challenges and changing priorities while effectively supporting staff, assignments are fairly complex in nature and usually require originality and ingenuity.
  • May serve as a resource to others in the resolution of complex problems and issues as well as proactive in identifying solutions. Work product is rarely reviewed.
  • May lead, train and/or mentor lower level clerical or administrative staff, including in other European OGC offices.
  • Requires a High School diploma or equivalent plus two years of post high school education or training and seven plus years of related experience OR an equivalent combination of education and experience.
  • Resolves most questions and problems and refers only the most complex issues to higher levels.
  • Skill level requirement: completion of the following assessment test with a passing score: Microsoft Excel-Experienced Users, Professional/Individual Contributor solutions

Optional tests include:
Business Communications, Outlook Essentials and Microsoft Essentials. Talent Plus is also available for measuring natural abilities.
