Training Administrator (M/F/d)
to join our team working for a better future.


The preferred location for the position is in Hamburg (Germany) and the position is part-time with 25 hours per week.


What you will be doing


As a
Training Administrator, you are responsible for the planning, organization and implementation of training courses, meetings and events in the ANCS Academy Hamburg.

The tasks include, among other things, scheduling the training courses by arrangement, coordinating appointments with the trainers and system administrators, selecting and coordinating service providers such as office supplies, catering and others, event concepts, carrying out marketing measures and support social media platforms like Linkedin or Instagram, looking after guests during the event.

In order to work as a training administrator, appropriate training or a degree in event management is usually required.

Overall, training administrators are responsible for the comprehensive planning, organization and execution of events of all kinds, with a focus on customer satisfaction and the success of the training or event.


As Training Administrator your work will focus on these responsibilities:

  • Planning and organization: This includes the entire planning of an event in the Academy from start to finish. This includes selecting the venue, setting the date, coordinating with trainer, service providers and suppliers and creating a detailed schedule.
  • Communication and customer care: Communication with customers, trainer and other stakeholders is an important part of the job. A training administrator must process training and event inquiries, give instructions and ensure that all parties are well informed and satisfied.
  • Marketing and advertising: The training administrator supports marketing for the academy. This may include creating promotional materials, using social media and running promotional campaigns after consultation to increase training attendance.
  • Logistics and coordination: The training administrator must ensure that all logístical aspects of a training/event function smoothly. This includes coordinating transport, accommodation and catering for participants and trainer as well as organizing office supplies, cleaning work and support for the trainer and guest.
  • Event execution: During the event, the training administrator is responsible for ensuring that everything goes according to plan. The administrator must ensure that that everything is prepared on time, problems are resolved quickly, and guests are well looked after.
  • Followup: After a training or an event, the training administrator is often responsible for the followup. This includes evaluating the success of the event, collecting feedback from participants and stakeholders, and accounting and documenting all expenses like trainer working hours.

To be successful in this role, we expect you to have:

  • Completed training as an event manager or comparable qualification in event management, tourism management or related areas Practical experience in the events industry, ideally through internships or previous professional experience
  • Communication Skills: Clear and effective communication is crucial when liaising with clients, vendors, team members and other stakeholders.
