Responsibilities:


  • To provide a welcoming, warm and professional front of house function to clients, visitors and employees
  • Organise and control of all meeting rooms and their use, ensuring they are well maintained and kept tidy at all times including taking care of hospitality (making of refreshments, order lunch etc.) for meetings
  • Record keeping, scanning, dealing with all incoming and outgoing mail
  • Organise and control suppliers, deliveries, courier services
  • Ensuring office is fully stocked of all stationary and marketing materials
  • Organise travel and produce travel itineraries where applicable
  • Processing of incoming invoices and subsequent related matters
  • Assist in On/Offboarding, coordinate with IT and Human Capital
  • Provide General Assistance to Internal Firm Services in maintaining the on site office tasks
  • Deal with admin queries and issues on all levels when necessary including tasks not outlined in this job description

Requirements:


  • Previous experience of working with senior management and taking responsibility of projects
  • Advanced skills in word, excel and PowerPoint
  • Highly organised with the ability to manage time and projects effectively
  • Able to handle the handson, pratictial site of office administration
  • High level of interpersonal skills
  • Experience in similar field, i.e. financial services or accountancy
  • Ability to communicate effectively
  • Fast thinking, proactive and confident working unsupervised using own initiative
  • Strong attention to detail and high levels of integrity
  • Excellent verbal and written communication skills both in English and German
  • Proven organizational skills with the ability to prioritise heavy workloads and remain calm under pressure
