Responsibilities
The role holder takes primary responsibility for administration and support to dedicated managers. Primary focus is on the support of the Head, CIB International Corporates and the Corporate Coverage Team.


Processes

  • Providing support to the two Executive Assistants, especially during their absence (holidays or illness)
  • Arranging / scheduling external & internal meetings, video conferences & conference calls
  • Making travel arrangements (book flights, hotel rooms, rental cars, etc.)
  • Consolidating and submitting travel & entertainment expense claim reports
  • Booking meeting facilities, arranging courier services, printing / binding meeting material
  • Supporting with the organisation of internal and external events
  • Processing invoices for subscriptions, visa documents, dealrelated stationery
  • Working together with the other confidential secretaries in the Bank to ensure the smooth running of the daily business
  • Ensuring compliance to Bank policies
  • Maintaining confidentiality

  • Positive working relationships to exceed expectations
  • Student of Business Administration, Languages/Communication or Social Sciences
  • Excellent communication skills and fluency in German (at least C1 level) and English (at least B2 level)
  • Preferably previous experience in the office/ admin support roles gained in the corporate environment
  • Excellent organisational skills, ability to manage deadlines and projects and multitask
  • Flexibility and ability to work in a fastpaced and ever changing environment
  • A team player with good interpersonal skills
  • Strong attention to detail
  • Proficiency in MS Office tools: Outlook (advanced), Word (advanced), PowerPoint (intermediary), Excel (basic)
  • Available to work 20 hours/week (possibility to work more during semester break).
    Availability to work on Wednesdays is a must.
