The Position*As part of the Administrative Support domain, we are looking for a new team member to complement our existing team in the area of Secretarial Services.

This specific opportunity is relating to the Administrative and Management Support Service.
This position is 80% / 32hrs per week.

Responsibilities/Duties*- Distribution service for incoming calls, correspondence and documentation

  • Translation German to English and vice versa
  • Travel coordination service (requesting, coordinating booking, handling mission reimbursements)
  • Data entry service contacts/address book, agenda, calendars
  • Monthly, quarterly and/or adhoc reporting services
  • Meeting organisation and support service (preparation of agenda, provision of any support documentation, taking and drafting of Minutes)
  • Support service to various events (launches, ESOC Fun Run, BBQ etc)
  • Support the placing and tracking service of contracts, contract change notices, procurement actions, including verification of associated budgets and of invoices and delivery notes against payment plans using ERP system;
  • Monthly manpower booking services using an ERP system;
  • Multilingual service (English, French, German) for drafting presentations, preparing, editing and proofreading internal/external documents
  • Translation from German to English and vice versa of incoming and outgoing correspondence.
  • Filing support service
  • Collection of figures from HIF-EC CIFM (Computeraided Integrated Facility Management) and Teamsite and production of reports and statistics.
  • Follow up and Collection of contractual KPIs related to FM contract(s) and reports on OPS-SLA related budgets.
  • Restructuring and updating of shared resources (Shared drives, SharePoint sites etc.)

Qualifications/Experience

  • Applicants must have a secondary education and professional training in administrative techniques.

Essential Skills

  • Applicants must be highly proficient in MS Office (Word, Excel & PowerPoint) and Corporate Email Systems Outlook and ideally MS TEAMS, knowledge of WEBEX is an advantage.
  • Selfmotivation and the ability to work independently in an international environment.
  • The working language of the Agency is predominantly English.
  • Fluency in English and German (spoken and written) is mandatory for this position.

Desirable Skills

  • User knowledge of SAP and the ESA financial and procurement processes.
  • Experience with SharePoint and MS TEAMS/ WEBEX.
  • Understanding the concepts and requirements for service delivery as part of a service team.
