Job Description


The Head of School ́s office at Frankfurt International School is looking for an experienced, qualified, organized and engaged
Governance and Legal Assistant effective 1 October 2024 (part time, as per contract).


Qualifications/Experience required:

-
Prior Experience: Previous experience as an executive assistant, paralegal, or company secretary

Excellent communication and organizational skills:


  • Knowledge of Education:An understanding of the educational system and the school ́s specific mission and goals

Knowledge of German law and codes:


  • Fluency in German and English

Legal compliance and advice:
Ensure the school and Board complies with applicable laws and regulations

Communication Skills:Excellent written and verbal communication skills in both, English and German. Confidence in dealing with a wide range of individuals from both within and outside the school

Performance Responsibilities:

The duties of the position will include but will not be limited to those on the list which follows**:


  • Governance:
  • Support the Board Chair and Board members in ensuring the Board functions efficiently and effectively
  • Responsible for the entire logístical process for all Board meetings: Prepare and distribute agendas and supporting documentation, and create and distribute accurate minutes for all Supervisory Board, Executive, and Regular Board meetings
  • Ensure effective information flows within the Board and its committees and between ADCON and the Board
  • Facilitate Board member orientation and assisting with professional development as required
  • Member of the Policy Committee. Responsible for the logístical process for Policy Committee meetings. Prepare and distribute agendas and create ad distribute accurate minutes for the Policy Committee
  • Upkeep and maintenance of the Board Policy Manual and the Administrative Regulations Manual
  • Provide guidance and clarification to community members seeking information on school policies or procedures
  • Oversight and organization of the annual Board of Trustees election, and oversight and organization of the election of the faculty/staff Board member

Legal compliance and advice:


  • Ensure the school administration is up to date with applicable laws and regulations. This includes staying current with or accessing changes in education law, labor law, and other relevant areas
  • Develop and oversee the systems that ensure that the Board complies with all applicable codes, in addition to its legal and statutory requirements
  • Collaborate with and advise the school administration and the Board on legal matters as required
  • Maintain relationships with and consult with external legal counsel

Office management routines and practices:

  • Calendar management for the Head of School
  • Travel arrangements
  • Correspondence
  • Prepare reports, presentations, and documentation for meetings, projects, and stakeholder engagements
  • Assist in organizing and facilitating meetings, conferences, and events as needed
  • All school occasion cards and gift distribution
  • Start of School Resources biannual updates
  • Close cooperation with the other Administrative/executive Assistant to the Head of School whose duties are complementary
  • Translates and interprets for the Head of School whenever necessary
  • Other projects, tasks, and responsibilities as directed by the Head of School
