Reporting to the Managing Director (MD) in collaboration with the Director, People & Culture, the HR Coordinator will be responsible for all things Office and HR related for our EMEA office & team.

Alongside all employees, you will play a key element in shaping the culture of Vention in Europe.

You will own a variety of HR responsibilities including office management, HR and office administration, driving culture initiatives, and ensuring alignment with the support and strategies from our headquarters in North America.


What you'll be doing:


Office Management:


  • Ensure the friendly welcome and support for team members and guests, organizing room preparation and catering for meetings, trainings & events
  • Responsible for the optimal and onbudget procurement of office supplies as well as maintenance of equipment
  • Management ofinternal and external partners (property management, suppliers, service providers, cleaning staff, industrial technicians, occupational safety officers, etc.)
  • Travel management for employees, ensuring efficient travel arrangements and adherence to company policies and budgets.
  • Management and organization of teambuilding and culture events

HR Administration:


  • Maintenance of HR database and employee files
  • Support and process all employment agreements and contractual changes both in systems and with documentation to the employee
  • Manage verification of employment letters, sick leave, time and attendance and other compliances with local legislation.
  • Provide highquality support to employees in relation to workplace policies, career development as well as employee relations escalating issues as necessary.
  • Organize onboarding for EMEA's newest team members, including welcome packages, office and warehouse tours in cooperation with the global HR team.
  • Collaborate with the global HR team to develop and maintain HR policies & processes for our EMEA team
  • Effective collaboration with executives and senior management
  • Support with performance management procedures including performance reviews, warnings and terminations
  • Effective change management in collaboration with the global HR team

Compliance

  • Collaboration with external resources and partners regarding legal and immigration matter (i.e A1 visas, interoffice transfers)
  • Support with preparatory payroll accounting
  • Support with OHS matters

Talent Acquisition

Qualifications

  • 2+ years of experience in managing administration and operations for an office or comparable experience.
  • You have strong communication in English and German (written & spoken)
  • Hands on nature and strong ability to work autonomously
  • You are a selfmotivated and selforganized team player; a handson problem solver with an eye for detail and the ability to prioritize and remain calm also in stressful situations.
  • You love to communicate with different stakeholders to get things done cooperatively and have a natural sense of service.
  • You provide structure and clarity: You can organize yourself well, prioritize and coordinate your own projects, but also keep a cool head
