Beschreibung

The HR Support Services Division is an important business enabler and interface with ESA staff and management at all sites.

They work according to a fully harmonized, "One ESA" service delivery model with a strong, people-centered local presence in six countries.

Together the team will not only excel in the handling of the daily tasks, but they will drive further evolution by seeking effectiveness, efficiency and digitalization.


Staff Administration Service:

  • Hiring (i.e. payroll insertion) of new staff;
  • Contract and position (ie. in the organizational structure) administration during the entire employment period, e.g. contract extensions, reassignments to new positions, etc.;
  • Adhoc (ie. requestbased) and periodic (e.g. via questionnaires, reporting) verification of entitlements;
  • Payroll inputs for salary and allowances, as well as calculating adhoc payments (e.g. untaken leave);
  • Systematic monthly payroll verification;
  • Daily maintenance of the organizational structure (e.g. org. units, positions, etc.);
  • Time and leave management.

Recruitment Support Service:

  • Standardized communication with potential applicants ESAwide, mainly by handling the HR mailbox;
  • Preparation and publication of Job Requisitions using SAP SuccessFactors;
  • Arrangement of job interviews (mostly online) and their followup with the interview boards;
  • Onboarding of new hires.

Support to Local HR Manager:

  • Registration of certified sick leave;
  • Arrangement of appointments with the ESOC physician;
  • Arrangement of visas and special ID cards with the local authorities;
  • Support to adhoc HR events, e.g. "girls day";
  • Coordination of the allocated places at the ESOC Childcare Centre;
  • Support to other local tasks as required, e.g. participation in the canteen board.
  • Bachelor's Degree in a relevant discipline;
  • At least 4 years of relevant working experience;
  • At least 3 years of payroll experience, preferably in an international context;
  • At least 2 years of relevant previous experience in HR administration in an international environment;
  • Exposure to recruitment activities;
  • Confident with working with various complex IT tools in parallel (mainly SAP R/3 and SAP SuccessFactors);
  • Ability to work autonomously, but with a good team spirit;
  • Attention to detail, affinity with figures and swift followup of actions;
  • Excellent sense of discretion and confidentiality;
  • Communication skills;
  • Fluency in English, both written and spoken; Knowledge of other languages is an asset.
