Executive Assistant to COO (all genders)

Your future tasks:

  • You will support our Chief Operating Officer and his team in the operative daytoday business. The general communication with management and executive colleagues and external business partners will fall in your area of responsibility.
  • You will receive inquiries and meeting calls from employees, supervisors and external parties, that require strict sorting and prioritizing and, in the process, obtain further information, if necessary, while passing on relevant information as required.
  • You will take care of the preparation and followup of internal and external meetings as well as the preparation of presentations, minutes, and reports.
  • You will be responsible for coordinating appointments and taking care of the travel management.
  • Furthermore, you will deal with topics of administrative office organization, e.g., the invoicing of travel expenses and receipts as well as the checking of credit card statements.
  • You will continuously be expected to take on independent tasks for the management to participate in internal special projects with the purpose of improving the daily flow of the business, improve the internal information and communication.
  • Occasional commutes between our locations in Germany (Bremen, Rostock, Leer etc.) and travels abroad are to be expected.

Your profile:

  • You have successfully completed a university degree and/or commercial training as well as professional experience in a comparable position.
  • You have a friendly and professional approach and a strong handson mentality.
  • You communicate in an appreciative and respectful manner and have an open and positive personality.
  • Organizing, prioritizing and foresighted thinking are among your strengths.
  • In addition, you have a high awareness of responsibility and confidentiality.
