Description
As the Administrative and Finance Officer, you will be in charge of the coordination of all the administrative and financial aspects of AXPO Solar Germany headquarters based in Berlin.
You will be the point of contact between all the departments and will report to the Urbasolar Export Administrative and Financial Manager based in Montpellier.
Your versatility and your autonomy will be assets for this position.Accounting/ international taxation:
- Coordinate the entire supplier and customer invoicing chain between service providers, internal validators, and the accounting firm (CPA) for the recording of documents.
- Analytical codification of all P&L recorded transactions.
- Ensure the compliance with the define workflow and internal processes of the Urbasolar Group (UBS Group).
- Follow up of the Tax and Social filings calendars and deadlines in connections with the CPA firm.
- Ensure the local interface with the auditors
- Produce a monthly bank reconciliation statement for each company.
- Monitor expense reports and related regulations.
- In collaboration with Urbasolar HR, social monitoring: leave, absences, salary settlements
- Files all the documents needed to support transactions.
Treasury:
- Produce a monthly forecast of cash needs.
- Follow/up and manage bank accounts balance for each company.
- Daily relationship with local banks
Legal:
- Coordinate the legal aspect between UBS group, legal department and local teams with support of the CPA
Administration:
- Manage
administrative workflow for bank accounts opening. - Manage incoming mail on the generic administration & accounting mailbox.
- Provide accounting and other documents for registration.
- Responsible for supplier's registration process.
Financial Management:
- Interactions with UBS Group accounting. Answers to all reporting questions.
- Cash management and cash flow plans at subsidiary level
- Managing supplier payment and customer collection
- Financial reporting management to UBS Group
- Bank relationship monitoring
Budget Monitoring:
- Cost accounting and costs allocation controlling
- Budget monitoring
- Participating in the closing of the subsidiary's financial statement in coordination with UBS Group accounting and controlling department and CPA.
Profil
Master's degree in accounting/ management/ finance/ legal
Experience required : 7 to 10 years' experience in an administrative and financial position, if possible, in an international environment, start-up type or in an accounting firm.
