Position Summary:


The Human Resources and Compliance Coordinator is a full-time position that supports HR practices and objectives and compliance with German regulations to provide a high-performance team culture that emphasizes employee engagement, performance management, the recruitment of project staff, and compliance with German legal requirements.

The HR and Compliance Coordinator is responsible for the maintenance of processes and metrics that support the achievement of the project's goals which includes ensuring compliance with German labor law, as well as Creative and donor/client human resources policies, procedures, and regulations.

Tasks


Primary Responsibilities:


  • Leads HR office operations ensuring compliance with German labor law, as well as Creative and client HR rules and regulations in coordination with Senior Management.

This includes the following employee related transactions:

monthly payroll aprocess for both local and expat hires, compensation related issues such as vacation, sick, maternity and non-paid leave requests and records, and other related labor law issues as they come up.


  • Proactively identifies potential HR issues, and proposes solutions to the COP.
  • Ensures Creative is operating in compliance with German Labor Law, and stays up to date on changes to German Labor Law that may affect Creative.
  • Responsible for coordinating staff trainings on HR rights and responsibilities and establishing staff development plans based on staff appraisals and evaluations. Provides information andsupport to project staff regarding HR policies and procedures.
  • Prepares and issues new contracts, contract amendments (extensions, salary/title changes, full time/part time, etc.) as well as other HR related documents such as references, employment confirmation letters.
  • Collaborates when requested onboarding/orientation of new project hires.
  • Manages employee benefits enrolment and ensures all inquiries and challenges faced by employees are handled; ensures all information for new employees is uploaded onto the company online document control system for Human Resources.
  • Receives and logs various grievances or complaints from employees; elevates to COP for review as needed.
  • Updates personnel files and other related HR documents including employment agreements, amendments, time sheets, calendar holidays and leaves.
  • Ensures backend documentation and supporting memos are completed and saved in employees' HR folders as relevant.
  • Provides program staff with support on employment agreement mechanisms used and visa and legal processes.
  • Serves as point of contact for payroll company for everything related to Human Resources, salary processing, and completion of official documents.
  • Serves as point of contact for visa agency.
  • Provides program leadership with information on the legal operating environment Germany, and any changes that might affect Creative Associates International Deutschland GmbH.
  • Conducts desk research on German legal requirements as needed before Creative engages with Legal Counsel to understand the legal operating environment in Germany.
  • Assists with Operations in Berlin including communications with vendors and landlords, submitting payment packages to finance, and other minor ad hoc operations tasks.
  • Perform other duties as assigned.

Requirements:


Required:


  • Bachelor's degree in human resources, business administration or a related field is required.
  • At least 2 years of direct HR experience with 3 years of general office support experience.
  • Excellent record keeping and documentation skills.
  • Familiarity with timekeeping and reporting requirements under US Government contracting requirements.
  • Knowledge and experience with German labor law.
  • Demonstrated experience with operations in Germany.
  • Proficiency with Microsoft Office.
  • Verbal and written working proficiency in English and German.
  • Work eligibility in Germany/EU required.

Preferred:


  • Arabic language ability
  • Experience with overseeing performancedriven HR management systems.
