- Provide secretarial support (manage MD's calendar, update travelers' calendars etc.)
- Provide administration support (organise MD's travel expenses, visitors overview, upkeep of office equipment, printing calendars/ diaries etc.)
- Work in an international team: i.e. cooperation and communication (via phone and email) with customers, suppliers, visitors, our sales managers and the German headquarter
- Organize complex travel, accommodation and transport arrangements including establish corporate account
- Responsible for the organization of meetings, conferences and team bonding events, including preparation of minutes
- Support in the organization of exhibitions
- Logistics tasks (prepare commercial invoices, packing, order dry ice, arrange shipment)
- Sales support, e.g. data entry, research, presentations and handling orders
- Internal sales support e.g. raise purchase orders, quotations, invoices and credit notes
- IT support, e.g. inventory management, coordinate with HQ (sourcing of parts, monitor installed systems)
- HR support (on and offboarding), e.g. set up laptop including necessary software/ access, collect a copy of NRIC, coordinate in-house training
- At least 4 to 5 years of working experience as personal assistant or administration manager
- Diploma or degree in business studies, administration, management or equivalent
- A high level of confidentiality as you will have insight into confidential matters
- Excellent self-organization skills and proactivity
- Has an eye for detail and possess a dynamic, committed attitude with strong sense of initiative
- Intercultural competence and excellent communication skills in English, both written and verbal
- Strong proficiency in Microsoft Office
- Dynamic, highly motivated, well organized, and detail oriented
