Summary of Position:

The Academic Coordinator provides support and mentoring for instructional staff in all academic programs offered at CIEE Berlin. They assist the Academic Director in curricular planning and development and are responsible for numerous administrative tasks.


The Academic Coordinator reports to the Academic Director in Berlin and also works in close collaboration with the CIEE Academic Affairs and Enrollment teams based in Portland, Maine.


Primary Responsibilities:

Instructor Support _

  • Regularly review course sites in the learning management system, Canvas, and syllabi prior to the start of instruction, to ensure that courses and instructors are prepared to meet the learning objectives and everything is in alliance with CIEE Academic Policies.
  • Provide assistance to instructors with administrative paperwork, course evaluations, grade submission, technical equipment and additional reports necessary to fulfill the terms of teaching contracts. These can include technical and pedagogical support in hybrid courses.
  • Analyze course evaluations and submit data on academic experience and classroom quality control, in coordination with the Academic Director.
  • Mentor new instructors in order to promote consistent quality and methodology in instruction in tight consultation with the Academic Director. This can include observing courses and offering constructive feedback to improve instructional quality and ensure the successful delivery of established learning objectives.
  • Identify, assess, and develop new work flows to maximize efficiency for instructional staff and facilitate learning outcomes. This can include establishing new resources and designing training workshops in tight consultation with the Academic Director.
  • Foster existing professional relationships within the broader academic community in Berlin and lead recruitment of new faculty as necessary.

Curricular Planning and Development_

  • Identify venues for cocurricular visits for hybrid and nonhybrid courses; advise faculty on integrating cocurriculars into course learning objectives and activities.
  • Assist with the design and implementation of the academic components for custom and facultyled programs.
  • Participate in the planning and execution of overnight study tours, whose logistics are primarily organized through the Office of Community and Student Life.

Academic Advising and Administrative Support_

  • Assist the Academic Director in the analysis of preregistration data and with student advising at the beginning of and during each instructional term.
  • Assist the Academic Director with writing, editing and reviewing course syllabi.
  • Edit and maintain the "Course Selection Guides," advising documents provided by the CIEE Registrar to students before arrival in Berlin regarding course selection and program credit requirements.
  • Offer academic, and where appropriate, professional guidance to students through regular office hours.
  • Advise students in the area of "Directed Independent Research" in the Open Campus program during the second and third blocks of the semester (ten hours per block per student) along with the Academic Director and designated faculty.
  • Track and code expenses related to course instruction and materials, with guidance from and oversight of the Academic Director.
  • Participate in the emergency staffonduty telephone rotation system.
  • Other duties as assigned, including perform oncall responsibilities with the emergency phone in accordance with the standard rotation between fulltime staff as well as with overnight study tours.

Knowledge and Skills:_

  • Teaching
  • Minimum two years teaching in a university environment with a studentfocused approach. Preferred demonstrated teaching experience to U.S. college students.


  • Organization

  • Ability to reconcile statistics and handle multiple ongoing tasks and prioritize within a complex administrative environment.
  • Communication with students strong communication skills, both written and verbal, in English, and enthusiasm about working with and giving time as motivator and educator to our students.


  • Communication with instructors

  • Need to have the confidence, experience and soundness of judgement to provide effective communication with adjunct instructors.


  • Flexibility

  • Must be flexible and be able to respond quickly to changing circumstances. Ability to work some weekends, and evenings, as required.
  • Efficiency and sensitivity to deadlines ability to complete detailoriented tasks on time without sacrificing accuracy or quality.


  • Language

  • Fluency in English and solid communication skills in German


  • Foreign study

  • Personal study or teaching experience in the U.S. is a plus.


  • Education

  • Master ́s degree required.
  • Authorized to work in Germany.
