Associate - Projects and Administration (gn)

Your tasks:
You will work with the Centre Manager in the overall administration of the Centre for Sustainability.

Tasks may include the following, plus similar tasks as needed:


  • Support the Centre Manager in administration of thirdparty funded projects and grants, including:
  • budget tracking and compliance with funder regulations.
  • Assisting faculty and researchers with research project management, including tracking deliverables and implementing project deliverables that go beyond research, e.g. (co)organization of meetings and conferences, writing minutes and protocols, maintenance of websites, drafting reports to funders and coordinating input from researchers to these reports.
  • Assist with the overall administration of the Centre for Sustainability, including:
  • Contributing to Centre communications, including maintenance and content creation for the website, social media, newsletter, etc.
  • Supporting Centre events, including preparations (registration, room bookings, catering arrangements, speaker coordination, logistics) and onsite management of events.
  • Maintaining Centre records including reporting, contact databases, and publications and generate routine reports.
  • General administrative tasks, including preparing invoices, travel requests, budget tracking, etc. and other tasks as needed.

Your profile:

  • University degree in a field relevant to our research areas or to the duties of the position
  • Professional experience in the administration of grants and research funds is an asset
  • Familiar with MS Office, online conferencing software (e.g. Zoom, MS Teams), and other online platorms such as Canva; experience in backend website content management is an asset
  • Experience using social media for professional communication and marketing
  • Good organisational skills, ability to work independently and communicate proactively
  • Able to manage aspects of projects in collaboration with other team members
  • Experience with event management is an asset
  • Excellent written and spoken English; German language proficiency highly preferred
