SUMMARY


The Defense Health Agency's Virtual Medical Center in Europe currently provides digital health care delivery between 300+ providers within 43 specialties to patients in garrison, operational, and remote settings spanning four Combatant Commands on three continents serving the U.S.

Army, U.S. Air Force, U.S. Navy, NATO, Defense Logistics Agency, Defense Intelligence Agency, and Department of State Service and Family members.


The scope of this program is to implement virtual scheduling systems as directed by the Defense Health Agency and provide comprehensive training to each end user, as well as provide site assessments on virtual requirements to include, connectivity and equipment, etc.

The Virtual Medical Center Europe end state will be to sustain current capabilities and increase global footprint to facilitate and leverage Defense Health Region-Europe's Medical Center and Treatment Facility Specialty Services throughout the Defense Health Region Europe, other Defense Health Agency Markets, and the Combatant Commands within Virtual Medical Center in Europe Area of Responsibility.


The Health Care Service Coordinator Lead provides full spectrum administrative support to health care providers within the Defense Health Agency Region Europe area of operations for Virtual Health operations, functioning as an interface with Virtual Health staff, patients, and providers.


QUALIFICATIONS

  • Associates degree or four years of relevant work experience required
  • Minimum of four years of work experience in a medical office or clinical environment
  • Minimum of two years of work experience with U.S. Military Healthcare System and benefits or civilian managed care medical/administrative environment
  • Minimum of two years handson experience with the Composite Health Care System (CHCS) and Armed Force Health Longitudinal Technology Application (AHLTA) or current electronic health record system used by DoD
  • Computer literacy in Windows, MS Outlook, MS Outlook Calendar, Excel, and PowerPoint
  • Prior team management or leadership experience preferred

JOB DESCRIPTION INCLUDES, BUT IS NOT LIMITED TO:


  • Provide weekly report on appointments kept, sleep studies, no shows, rescheduled, changed to cart or inconclusive.
  • Responsible for reporting personnel status to leadership.
  • Work with all Virtual Health leads to identify potential process improvement for policies and procedures and provide recommendations to Virtual Health leadership.
  • Manage workflow by allocating specific tasks to team members to include changes in schedule.
  • Responsible to assign a service coordinator trainer for various training events to include new employees.
  • Train Medical Service Assistants on Virtual Health scheduling and care coordination as needed or when requested.
  • Respect and protect the confidentiality of all clientrelated records in accordance with HIPAA and agency policy.
  • Manage Virtual Health encounters and schedule data to analyze and measure site performance and quality assurance. Provide a monthly report to recommend implementation of strategic changes to improve Virtual Health delivery.
  • Coordinate all Virtual Health appointments and workflows for the medical treatment facility and manage Asynchronous case load though available platforms.
  • Verify all requested Virtual Health appointments can be supported and resourced by all parties involved.
  • Book Virtual Health appointments within the Care Coordination Database.
  • Send Virtual Health appointment notifications with appropriate documents.
  • Mitigate scheduling conflicts and calendar or care coordination issues.
  • Responsible for reviewing the credentialing database to ensure a provider is worldwide privileged.
  • Maintain an uptodate list of patient presenter contact information for all DoD and DoS.
  • Aid health services who are delivering Virtual Health to patients, by training and working with Medical Service Assistants (MSA) and filling in gaps, only when it doesn't interfere with VH workflow.
  • Provide cross coverage for the Virtual Medical Center Europe Virtual Integrated Patient Readiness and Remote Care Clinic's medical readiness appointments and collaborate with San Antonio's Virtual Integrated Patient Readiness and Remote Care Clinic.
