Your profile:


Your role as a C-Level Executive Assistant
The Executive Assistant will provide administrative support to the Senior Leadership members.

Reporting to the Chief of Staff the Executive Assistant provides operational support and overseas the logistics of the day-to-day C-Level executive business and keeps an overview on company ceremonies.

With a broad range of administrative and operational tasks, the Executive Assistant will anticipate the Executive's needs, being always a step ahead in prioritizing inquiries, requests, and responsibilities throughout various schedules.


In detail you will:


  • Manage sensitive information with a high level of confidentiality and discretion, especially decisions directly impacting the operations of BuildingMinds.
  • Serve as an administrative support to the Senior Leadership Team of BuildingMinds by providing operational aid and liaising with employees, executives, and senior leaders.
  • Sustain sophisticated calendar management of meetings and events for the Senior Leadership Team.
  • Prioritize inquiries and requests to ensure smooth running of daytoday engagements.
  • Managing set up for highlevel meeting logistics, collaborating with the office manager, as well as assisting with minutes and reporting.
  • Draft and prepare correspondence for internal announcements, board meetings, and other company activities.
  • Arrange travel, accommodation, dinners and expenses for the Senior Leadership Team.
  • Perform additional duties as assigned by the Senior Leadership Team.
  • Setup, coordinate and drive company Allhands and Leadership Q&A sessions
  • Preparation of meeting rooms, including IT set up, professional setup, and catering in coordination with office manager.
  • Hosting and receiving guests upon arrival to the office

We would like to hear from you if you have:
Ideally experience in an administrative role, and / or background in hospitality or customer experience. Degree in Hospitality, Public Relations, Business Administration, Management, or any related course is a plus.

But we are mostly interested in the following skills:


  • Excellent communication skills in English
- being able to interact with people of all levels in a confident, professional manner

  • Excellent organization and time management skills
  • Keeping track of multiple tasks, attention to detail
  • Problemsolving approach to work and service orientation
  • Experience with planning and organizing multiple tasks, agendas, events, trips
  • Ability to integrate quickly and deliver in a timely manner with changing workloads
  • Flexibility to travel occasionally and being able to come to the office on a regular basis
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Can handle IT set up for meetings (set up of camera, microphones, screens, sharing on screens, etc)
