Job Summary
Maintains daily operations of company corporate real estate. Responsible for vendor and contractor coordination. Responsible for oversight of the copy and mail room functions, identifying where processes can be improved. Supports the Corporate Real Estate team as a skilled specialist that works on assignments requiring considerable judgement.
Responsibilities
Concierge and Facilitation
- Assists with conference center room booking and set up
- Supports multiple, more complex projects that extend beyond office moves
- Creates monthly tracking metric and reports for vendors, and day to day cost associated with budget
- Assists with ergonomic assessments and proper desk setups
- Assists with the copiers, mail room and mail distribution functions for Equinix
- Identifies possible improvements to processes, systems and overall client satisfaction
- Ensures appropriate follow up with customers
- Acts as project coordinator for weekly meetings (e.g., leading team meetings, developing/manage schedule, develop/track budget, and providing timely updates)
- Manages end user expectations, meeting with them to review their requests and requirements
- Participates and supports the Manager, Facilities on approved TI Projects
- Maintains CAFM system (Office space) that tracks the occupancy of staff, hoteling, and work order request
- Supports the charging station program if applies at office
- Supports daily sorting, pickups and deliveries of all external and interoffice mail and supports employees on all mail and shipping requirements
- Supports contractors for maintenance and improvements including electrical, audio/visual, security, cabling, janitorial, plumbing, utilities, and HVAC
- Supports vendors, service providers and facilities staff as required to ensure excellent coordination and execution of work with mínimal disruption
- Acts as active member of the safety team and supports fire evacuation and emergency training
- Tracks and maintains emergency supplies and life and safety evacuation processes
- Ensures the premises are properly maintained, and assist with repairs and tenant improvements
- Conducts regular walkthroughs to identify existing building issues
- Responsible for maintaining up to one office remotely, including moving of staff, reconfiguring offices and cubicles, office repairs, and equipment moves
- Performs and maintains regular property inspections to proactively maintain the appearance of the office
- Assists with budget tracking, contracts, change orders and cost saving initiatives
- Communicates and coordinates with property assistance on various issues such as building maintenance and security, safety (smoke detectors, sprinkler system, emergency lighting), and Heating, Ventilation and Air Conditioning (HVAC) needs
- May provide direction to Facilities Coordinators in efforts to ensure 100% adherence to guidelines and policies
- Supports small construction projects and space planning efforts
- Responsible for the main lobby, welcoming guests and visitors
- Responsible for maintaining vendor purchase orders and tracking budget
Qualifications
- 5+ years experience strongly preferred
- Bachelor's degree in Business Management preferred
