Job Description, Senior Procurement Administrator:


The Team:

The Procurement team is vital in supporting Jimdo's business.

Like most companies, Jimdo has significant expenses for technology and software, with contracts ranging from tens of thousands of euros to several million euros per annum.

To help us negotiate and optimise these, Jimdo is looking for a Senior Procurement Administrator to join us and help us identify opportunities to save cost, manage supplier relationships and ensure our procurement processes are efficient and effective.


As our Senior Procurement Administrator you will be reporting into the CFO and you'll have the opportunity to be a part of an established purpose driven business where you will be responsible for maintaining and improving Jimdo's relationships and services across marketing and technology.

You would play a vital role by connecting with business leaders and understanding their specific needs in contracts.

The strategic nature of the role will allow you to make a significant impact on the company ́s bottom line by developing and implementing procurement strategies that align with the organization ́s goals.

We are looking for someone who is self-motivated, who has experience working in a scale-up or SaaS environment. We require someone with strong knowledge of procurement and experience within the sector, understanding varied purchasing and procurement topics.


Key Responsibilities**:


Administration of purchase requests:

- review offers / contracts which have been provided by Buying Manager with regards to payment terms, termination conditions, limitations and highlight findings to Buying Managers;
- forward offers / contracts to Legal & IT-Security & IT-Operations (any IT-related topics);
- ask Finance for Budget Approval;
- start signature process after receipt of Finance & Legal & IT-Security & IT-Operations Approval;

  • Archive signed offers / contracts in Docuware

Administration of contract data:


  • Export a list of upcoming contract renewals & contract expiration from Docuware monthly
  • Ask Finance for Budget Approval for confirmed renewals
  • Start signature process for contract if required
  • Create termination letter for contract if required (after confirmation by Buying Manager) inl. Signature workflow and send out to vendor

Administration of External List:


  • Manage list of Externals (Freelancer, Personnel Leasing, Consultants, etc.)
  • Insert each External in the list incl. start and end dates
  • Keep the list uptodate
  • Create trello cards for IT-Operations for any new External and any leavers to ensure IT-Ops can manage their accounts

Creation of NDAs:


  • Use NDA template & fill in vendor data
  • For any nonJimdo templates ask Legal for review and approval
  • Start signature process and send signed NDA to vendor / Jimdo requester
  • Archive signed NDA in Docuware

Assist Buying Managers in:
Review, (Re-)Negotiation of top-tier contracts and commercial agreements if required


Administration of Spendesk:


  • Review requests and approve
  • Export list of spend on a monthly basis and review for potential savings
  • Cooperation with main company functions such as Finance, Legal as well as IT-Operations for any new policies which have procurement related topic
  • Update procurement policy if necessary
  • Ensure that policies will be shared with Externals if required

You will have a background consisting of:

  • 3-5 years of experience in Purchasing or Procurement, dealing with procurement topics for IT and technology companies.
  • Excellent administrative skills at all levels.
  • High ability to engage and manage key stakeholders and suppliers.
  • A resultoriented approach, with ability to plan and deliver against project deadlines.
  • Strong analytical skills and a quantitative mindset.
  • Capable of using Excel and Powerpoint to build presentations and communicate complicated topics.
  • Fluency in both German and English.


Ideally we would like this person to be based in Hamburg, but the person may be based in wider Germany if willing to travel.
